Scheduling a Visitor Data Request

Visitor Data Mart data requests can be scheduled using the Data Scheduler. Each data request requires you to select a business object based on a website event such as an ad click or campaign conversion. You can then decide which data fields to extract.

To use this feature, you need the Data Scheduler Warehouse Data Extracts user right. To download your extracted data files, you need the Data Scheduler Available Files (SFTP) user right.

To schedule a Visitor Data Mart data extract:

  1. In the left pane of Administration, click Import/Export.
  2. Expand Data Scheduler in the left pane and click Upcoming.
  3. Click New > Visitor Data Extract.
  4. In the Name of this Extract field, provide a name.
  5. In the Description field, provide a description (255 characters maximum).
  6. Select the profile from which you want to extract data.
  7. Select the segment on which to base the extract (skip to Step 9).
  8. in the Object list, select the business object for which you want to request data. Each business object is based on a website event such as an ad or a shopping cart remove. If you want to export data for more than one business object, you can schedule multiple extracts.
  9. In the Included Fields list, select one or more check boxes identifying the database fields to include for the currently selected business object. Database fields are based on event attributes such as time or visitor IDs. To include all fields, check Select All.
  10. Using the Filters settings, create any filters you want to use to limit the data:
    • To see only unique rows, select Exclude duplicate rows.
    • Set a geographic filter. For example, limit the data to traffic from Quebec by setting the filter State Province - Visitor Attributes equals Quebec.
    • Click + to add more filters. Click - to delete a filter. Filters use a Boolean AND. For example, you could add the filter Result Count Greater Than Equal 1 to extract only data with successful on-site searches from Quebec.
    Note: You can apply a maximum of 5 filters to each data extract.
  11. For Time Period and Frequency, select the unit for which you want to extract data.
    • If you select Day, Week, Month, Quarter or Year as a time period, the frequency of the extract is daily (with intra-day frequency available), weekly, quarterly or yearly.
      Note: Extracts start on the Next Extraction Date as soon as possible after the profile data has been loaded for the previous day.
    • Select Specific time range for a one-time extract of a range of days.
    • Select Last to specify a custom range of days and frequency, for example, to create extracts for dissimilar time periods and frequencies (such as the last 7 days’ data every month starting starting at the first of next month).
    • To create an intra-day extract, select Extract Data for the Day (a drop box appears for the frequency). For each frequency, data is extracted at specific times of day, if data was available. The intra-day extracts only contain the data available at extraction time, but the last extract of the day waits until all of the data for that day has been loaded, so that each day’s data is complete with the last extract.
    1. Extract data for the Day Once a day: Data for the previous day is extracted at 2 a.m. the following day.
    2. Extract data for the Day Twice a day: Data is extracted at 2 p.m and 2 a.m. the following day.
    3. Extract data for the Day Three times a day: Data is extracted at 10 a.m., 6 p.m. and 2 a.m. the following day.
    4. Extract data for the Day Four times a day: Data is extracted at 8 a.m., 2 p.m., 8 p.m. and 2 a.m. the following day.
  12. (Optional) Click Edit after the File Properties drop-down to change the File Properties defaults for the CSV file created for the extract (Name, Include Header Rows, Column Delimiter, New Line Delimiter, Text Qualifier, and Escape Character). Check the Available in Optimize check box to make segments available in Optimize.
  13. If you want to notify other Webtrendsusers by email about the success or failure of your data extract, use the Notify fields to create notification rules. By default, only you are notified on success of the extract. Click + to add more rules. Click - to delete a rule.
    Note: You can notify a maximum of 10 users per data extract. To notify more users, you can send a notification to a distribution list.
  14. Click Schedule. After the selected time period of your extract is complete, the extract is initiated 3 hours after midnight (12 A.M.) in the time zone of the profile for which you are extracting data. The 3-hour delay ensures that any outstanding hits are correctly counted.
